MINUTES THOMPSON-OKANAGAN QUEENS ’ MEETING

HELD AT “CHANCES” KELOWNA , BC

WEDNESDAY, JANUARY 31, 2007

 

QUEEN BEE BLABALOT ( Lynda M illard) CALLED MEETING TO ORDER AT  12:00 Noon  

A warm WELCOME was given by Lynda to the 24 Red Hat Ladies that attended and each in turn around the room was introduced by Lynda, themselves or the person they were with.

We then lined up for buffet LUNCH (soup, salad, a variety of  delicious sandwiches, coffee, tea and pecan pie with whipped cream). Drinks also available from the bar, on order via our private server.

At the same time “Christine” from the adjoining Chances office explained Chances “Committee Connections” offer to us.  For $25 we are invited to get together at Chances for a Fun Evening (6:30-9:00pm) as a fundraiser.  Of the $25 charge - $10 will go to Red Hatters and $15 will go to Buffet Dinner, DJ Bingo - which is a song thing, and other cash prizes.  There really is no minimum number of people - the more the merrier of course with a maximum of 85 attendees.

Queen Lynda once again reminded us about the upcoming Birthday Party for 100 year old Queen Dorothy, March 21, 2007 at noon, Lakeshore Place in Kelowna where Dorothy lives.  Okanagan Red Hat Queens have been invited, and there are about four spots left.

Lynda summarized  a January 24th Red Hat Article from the Toronto Sun relating that there are 41,000 Chapters in over 30 countries with over 35,000 chapters in USA .  Fun remarks about KAZOOS and “May your Boa Forever Fluff”.  Also, reference was made to the fact that Red Hatters’ are “Dangerously Moody Women Over 50”.

Lynda also made reference to the April 01, Bayshore Inn $47 Luncheon in Vancouver .

This year will accommodate the first Queens ’ Parade.  Aprox. 600 women will attend.

Reference was also made to “Good News Bears” purchase @$500 each by chapters in Osoyoos and Oliver.

The Sooke, BC Red Hatters’ will once again produce a “Nude” Calendar for 2008.

Awareness was made of two BC websites.  The first being “www.redhatsinbc.com” and the second being just for our Queen Mothers’

Lynda gave the ladies information on the Montana Convergence - September 14,15,16 for $87US - Great Falls , Montana .

There will not be a Spring Fling, but rather a Fall Foo-Foo Fling if there is enough interest and volunteers to help organize this event. There will be Vendors tables, Box Lunch, Entertainment and lots of Red Hat Stuff!

Tables will be available for you to sell, exchange or give-away some of your unwanted R.H. clothes etc.

There was mention of several Red Hat Shopping places in Salmon Arm, Kelowna , Vernon , Summerland, Winfield and elsewhere.

Sue Schierer(aka Queen Boop) invited all to The Third Annual International Red Hat Birthday Party, April 25, Schubert Centre, Vernon , 7-10p.m.. Cost will be  $10 -$12 which will include Birthday Cake, Entertainment, Appies, some wine , tea, and coffee.
Last year was a sell-out, so get your tickets early. Tickets will be available at the Queen’s Luncheon in March.

A few of the past fun Events that were open invitations to all included the Kettle Valley Railway and Picnic, the Putting Golf Tournament  in Kelowna, Harrison Hot Springs Sandcastles Tour, Puyallup Washington Red Hat Christmas Bus Trip, & Cove Strawberry Luncheon.

Future locations for the Okanagan Queens’ Luncheons was discussed in brief - pointing out needed features such as an elevator if there were stairs, a microphone, adequate room for up to 60 people, private enough and suitable to hold a meeting.  “Chances” won over Jakx.

FIRM NEW RULE:   you say you are coming and NO SHOW-YOU STILL PAY!

THIS IS A MUST BECAUSE WE ARE CHARGED FOR NUMBER OF PLATES ORDERED.

50-50 was won by two @$22 each. (=$44)  Covians’ donated door prize (a Red Hat Lady Broach) was won by Sherry Cochrane from Enderby.

Various expenses for postage, photocopies etc. do exist.  Several Chapters have given Lynda cheques or cash that she is returning in lieu of a discussion, vote, and decision to have each Chapter Queen donate $5.00 per fiscal year (January 31-January31) as a membership token.  There are 80 on the mailing list, and if you do not donate $5, then your name is removed from the mailing list.

Lynda hired two lawyers, one to prepare waivers and one for incorporation re our insurance. Their generosity was greatly appreciated.

FEE FOR USING THE WAIVERS:  If you do not take out the Insurance being offered by the Okanagan Red Hat Council, then your Chapter  must submit $10 toward the cost of the legal and administrative fee associated with the lawyers and Capri Insurance (aprox. 500-1000$ for their time).

LYNDA HAS EMAILED VERY DETAILED INFORMATION AND INSTRUCTIONS ABOUT THE CAPRI INSURANCE LIABILITY POLICY BEING AGREED UPON FOR THE USE OF THE ENTIRE PROVINCE OF BC RED HATTERS, starting with just the Okanagan Red Hatters. Information will also be posted on our web site.

There was much explanation and discussion related to the Insurance Issues, but Lynda’s email gives the exact figures and details, therefore you may consider it (email re: INSURANCE  sent February 01, 1:34 AM from “Okanagan Queen Mothers Group” qm.okanagan@yahoo.ca ) as part of these minutes.

For this Group Liability Insurance, your Chapter must have  $10 cheque and application in by Feb. 28, 2007.

Later send your fee per person after you get the proper and exact amount.  If money is left in the kitty at the end of the year, it will be divided - your portion will be returned.

Queens may also obtain Liability Ins. as a single person even if her chapter does not take out the Insurance.

Fiscal Year for Insurance will hopefully be April 01 to April 01.

It is not an issue to add a new person to your Chapter, but a new Chapter mid-year must pay the entire years Insurance Fee as assessed for everyone.

Emphasis was put on checking out your own homeowner policy depending on your living circumstances, and also to carry at least 2M liability on your auto insurance.  Also, make sure that you have a designated driver for your outings.  Consumption of alcohol can even effect your homeowner policy.  Use your waivers at all times.

For 2007 there are TWO WAIVERS - one for your Chapter membership information and  one to use for each and every one of your outings.

Chapters are invited to belong to “Okanagan Queens ’ Council” regardless of whether or not they take out the Group Liability Insurance.

Okanagan Queens’ Council will not be Incorporating.

Special Events where outside chapters are invited will require special Liability Insurance which will cost in the neighbourhood of $1000 per day .  Restaurants carry insurance to cover their patrons, (and it might be wise to inquire about this before you go ) but should you go to a place such as a Public Park or Recreation Area or be in a Parade - you are not covered. Once again - use your waivers. ALWAYS HAVE THESE WAIVERS SIGNED BEFORE YOU LEAVE. Even if you are in a public restaurant and they have insurance of their own, if you are found to be the cause of an incident (i.e. fire) the restaurant’s insurance company will sue you for their loss.

VOTE TAKEN THAT EVERY INSURANCE APPLICATION MUST BE ACCOMPANIED BY A $10 ADMINSTRATION FEE.    Carried.

VOTE TAKEN THAT WE DO THE 250 PERSON LIABILITY INSURANCE POLICY BEING OFFERED TO US BY CAPRI INSURANCE.   Carried.

VOTE TAKEN TO RETURN THE PREVIOUSLY TAKEN DONATION CHEQUES.      Carried.

VOTE TAKEN TO HAVE A MANDITORY $5.00 PER QUEEN  DONATION FOR THE FISCAL YEAR (JANUARY 31 - JANUARY 31) MEMBERSHIP  TO BELONG TO THE OKANAGAN QUEEN MOTHERS’ COUNCIL.  Carried.

A Fun Evening in May for the “Chances Committee Connection” was discussed and unanimously decided to pursue.

Queen Bee Lynda (Blabalot) would like Chapter event pictures to be submitted as large as possible for use on the Website.

The meeting adjourned at approximately 2:15 P.M..
